General info about possible actions from the home screen.


Document Types

Xynaps can handle different types of documents. The consignment note and identification form are most commonly used. Your administrator can choose which documents should be active in the company settings.

To choose a document different from the classic consigment note. Click the dropdown menu next to “New” and select the desired document. You can fill all the required data and save to create a concept.


On the left-hand side, you can go to your contacts.


Create a new contact

  1. Go to contacts.
  2. Click the “New” button to create a new contact.
  3. Next fill the details of your contact.
  4. Check the checkbox if this contact is a transport company.
  5. Click save to continue.


By entering the Company registration number (VAT number), the form will complete itself automatically.

Your contact should now be created and added to the list.

Check if linked

As an admin you can easily check whether a contact is linked or not. You can just go to the contact screen and check if the connection is made or not. If not, you can click the connect button and send an e-mail invite.


If you do not have admin rights, you can check whether a contact is linked by adding them to a document.

  • Go to inbox.
  • Click the “New” button.
  • Add your contact
  • If you have established a connection with this company, a green link icon will appear.

If your contact is not linked, they will not receive their documents. Please ask your admin to send a connection invite.


To create a template, go to your home screen, click the dropdown menu next to new and click templates.


Then click “New Template” or select a type of document to make a new template of that specific document.


Give your template a name, this makes it easier to find. By clicking the “Default Template” checkbox, you will always use this template when creating a new CMR. To finish, fill in the desired content and hit the save button.


You can use your template by clicking the dropdown menu next to new, then you select the desired template.



In the dropdown you can find advanced options. If you click the button you will only copy field 1,2 and 5 of the CMR. To copy more fields, go to advanced copy, and select full copy. You can also create several copies by filling in the desired amount.



Upload Attachments

You can add attachments to your consignment note by selecting a document and clicking “upload attachments”. This might be handy to upload a plan for your driver, or customs documents.



You can use the “delete” button to delete a certain document. Please note that you can only delete documents which you created yourself. Also documents which received an official number cannot be deleted.

If you are not the issuer of the document or the document has an official number, you can use the “Cancel” button to cancel the order.
